Experience: Where to play and how to win are intimately tied and together they form heart of the strategy

Explanation: There are five friends to work with – What, Why, Where, When and How. These friends help you in any situation which is to be dealt with. Krishna said to Arjuna, just like a business preposition, that one must decide the playground and the strategy to play there i.e. “where” does a company wants to diversify and “how” it would do , as both these aspects are intertwined. One cannot succeed, if he is not having a proper plan.

Arjuna then asked what to do. Krishna replied that you must understand your strengths and weaknesses and accordingly decide on the opportunity available. In fact, analysis of strengths is very important, and sometimes, our perception about our strengths may be inflated. Therefore, a proper analysis of strengths and weaknesses needs to be done as a part of strategy to win.

Experience: Conducting meetings is important: planning, agenda preparation, timely conduct of meeting and sticking to the time frame.

Explanation: In all the organization meetings are held either to discuss the issues which need decisions, or to evaluate the progress. It is basically a forum where decisions are taken collectively. Arjuna asked Krishna ,” O Lord , nowadays wherever I go to attend the meetings , they are neither held on time nor any fruitful decisions are taken in these meetings.”

Krishna replied, ”O Parth!, nowadays people are suffering from defects in decision -making, lack of sense of time and lack of knowledge .On hearing this, Arjuna asked for remedy. The Lord replied that, for a fruitful meeting, the following are required to be done:

  • Notification for the meeting to be made in advance: at least by 3-7 days so that everyone is prepared for the meeting.
  • The co-ordinator of the meeting should brief the decision-makers about the subject, so that they are also ready to take a decision.
  • The agenda of the meeting needs to be circulated in advance and needs to be taken strategically in such a way that the decisions required at the end should come spontaneously.
  • The co-ordinator of the meeting should check audio and video system before start of the meeting. Generally, malfunctioning of the audio system is observed by the participants.
  • Advice all concerned to be in the meeting room at least 15 minutes before start of the meeting. A culture of timely arrival in the meeting room is required to be developed.
  • The meeting should be as per agenda. It is better to take views of all concerned, and the moderator should conclude the agenda after weighing the pro and cons of the pertinent issues.
  • It is the responsibly of the concerned person to issue minutes of the meeting within 24 hours after the meeting has been conducted. The MOM should be point wise and without a bulky text, so that the individual who is reading should know the requirement of his precise part. O Arjuna, writing MOM is an art. Since it is a forum for taking collective decisions, the co-ordinator has got the opportunity to get the decision taken by the forum and record the same, so that his work progress is crystallised.
  • Arjuna asked Krishna, O Lord –if any point comes to my mind, should we speak it out in the meeting?   Krishna warns Arjuna – In the meeting you should see who is co-ordinating the meeting most of the time; if he is too senior to you, better not to speak until asked for or at the end you may take permission for submission of your points. You will see that most of your points would be covered even if you do not speak. So why speak until asked for.
  • After issuing MOM, you should ask for the Action Taken Report (ATR) on a weekly or fortnightly basis. Krishna said that I have seen these MOMs being simply filed away, and being re-opened seen just prior to the next meeting. So, Partha, to take advantage of the meeting, better to take timely action, as committed in the meeting.
  •  Time is the essence of life. Therefore, the meeting should be finished within the stipulated time .It should not be the case that a meeting planned for one hour duration is being stretched to three hours. People are not concerned with time pressures on others, particularly some of the senior bosses who are less concerned with others’ engagement.

Experience: Instead of discarding someone’s opinion, better to counsel him/ his team

If team formation is an art then team sustenance is a science of handling people and cohering them together so that they could get well with each other. Arjuna was one of the members of a project team which was responsible for one particular project, but his team leader had been grumbling and blaming others for their individual shortcomings. Krishna was observing this from outside. Arjuna asked Krishna to scold them so that the project derailment can be arrested, and it be completed within the shortest possible time.

Krishna, after a lot of deliberation concluded that:

  • Team members are individually good but as a team their chemistry is mismatching.
  • Their boss has less interaction with them, and reviews their work at a superficial level.

And so, instead of scolding them for their shortcomings, he decided to counsel them. He called all the team members for a meeting, and advised as under:

  • To work as a team
  • To distribute individual responsibility to each member
  • Give a milestone for completing the work.
  • Advised their boss to have more interaction with them

Krishna advised Arjuna to experience the results of this strategy and, after sometime, positive results started pouring in.

So, Scolding is not the solution in such management, and COUNSELLING is a better option.
